These Terms and Conditions govern your booking and participation in any tour operated by Sri Lanka Cycling Squad. By confirming a booking with us, you agree to the following:
A non-refundable deposit (amount specified in your invoice) is required to confirm your booking. This deposit secures your place on the tour and covers preliminary arrangements. The remaining balance must be paid in full at least 30 days prior to the tour departure date. Failure to do so may result in cancellation without refund.
For bookings made within 30 days of the tour start, full payment is required at the time of booking. All prices are quoted in USD and are subject to change based on exchange rate fluctuations, third-party cost changes, or government taxes.
Your booking is not confirmed until we have received and acknowledged your payment.
Your booking will only be considered confirmed once we have received the required deposit or full payment, and you have received written confirmation from us.
Approximately two weeks before your tour begins, we will send your final trip information, including joining instructions, accommodation details, packing suggestions, and emergency contact numbers.
Please wait for this official confirmation before booking flights or making non-refundable travel arrangements. Sri Lanka Cycling Squad cannot be held responsible for costs incurred due to premature bookings.
If you need to cancel your booking, the following cancellation fees will apply:
Cancellations must be submitted in writing to info@srilankacyclingsquad.com. The cancellation takes effect from the date we receive your written notice. No refunds will be issued for unused services, early departures, no-shows, or voluntary trip interruptions.
While we strive to operate all tours as planned, we reserve the right to cancel, reschedule, or alter any part of the itinerary when necessary due to weather, natural disasters, political unrest, safety concerns, or operational constraints.
If we cancel a tour before it begins, you may:
Sri Lanka Cycling Squad is not responsible for expenses such as flights, visas, travel insurance, or other independent arrangements.
Comprehensive travel insurance is mandatory for all participants. It must cover:
Proof of insurance must be provided before the tour begins. Guests without valid insurance may be denied participation without refund.
You are responsible for ensuring you are in good health and physically capable of completing the cycling tour. Any pre-existing medical conditions, recent surgeries, or mobility limitations must be disclosed at the time of booking.
Sri Lanka Cycling Squad reserves the right to deny participation if your condition poses a risk to yourself or others, without refund.
By joining a Sri Lanka Cycling Squad tour, you agree to:
We reserve the right to remove any participant whose actions are unsafe, unlawful, or disruptive—without refund.
Your tour includes the use of a high-quality bicycle (standard or e-bike as per your selection). Helmets and spare parts are available upon request.
You are responsible for any deliberate damage, misuse, or theft of provided equipment. If you bring your own bike, you are responsible for its safety and maintenance.
Details of accommodation and included meals will be provided in your final trip documents.
Each tour operates with a minimum of 2 and a maximum of 14 participants. The decisions of the tour leader/guide are final in all matters concerning safety, pace, rerouting, or participant conduct.
We are not liable for changes, delays, or cancellations caused by events beyond our control, including but not limited to:
In such cases, we will offer the most reasonable alternatives available, but refunds are not guaranteed.
Photos and videos taken during the tour may be used by Sri Lanka Cycling Squad for marketing (online or print), unless you request otherwise in writing before or during the tour. We respect your privacy and will never publish content you are uncomfortable with.
If you encounter any issue during your tour, please raise it with your guide immediately so we can resolve it. You will also receive a post-tour feedback survey. Your input helps us maintain high standards.
These Terms & Conditions are governed by the laws of Sri Lanka. Any disputes arising from bookings or participation fall under the jurisdiction of Sri Lankan courts.
By submitting your booking, you confirm that all details provided are accurate and match your passport. You also acknowledge that you have read, understood, and agreed to these Terms & Conditions.
